In order to provide products and services, K’dans, Studio ‘in beweging’ processes personal data. This is data relating to natural persons. The processing of this personal data takes place with the utmost care and in compliance with the General Data Protection Regulation (GDPR), as well as current national laws and regulations at the time of processing.

Purposes and Legal Basis
The data provided by you is used for the following purposes:
Processing payments and preparing invoices;
Offering our products and linking them to the correct person;
Sending emails regarding your product or important information from our studio;
Enabling registration for the desired educational program, course, or workshop;
The processing of your personal data is based on the legal grounds of contract and consent. When entering your details to purchase a product, the legal ground is contract. If you sign up for the newsletter, the legal ground is consent.
Retention period
We retain the data for up to 7 years after the completion of the education, course, and/or workshop. Are you taking a new education, course, or workshop within 7 years? Then the retention period applies from that moment. In addition to maintaining your account, we retain financial data (invoices) for 7 years in accordance with applicable legislation.
Third parties
We only provide your personal data to third parties if this is necessary for the execution of the agreement. We use the services of Trainin. You can find more information on how Trainin handles privacy on the following page: https://www.trainin.nl/privacy. We have concluded a data processing agreement with Trainin. This agreement sets out arrangements regarding how to handle our customers' personal data.
In addition, we use the services of the Exact accounting system to process invoices for administrative purposes.
Transfer of personal data to third countries
K’dans studio does not transfer data to third countries outside the European Economic Area.
Security
If a third party requests your personal data, we will refuse to share it, unless you give us permission or because we are legally obliged to do so. When we are legally obliged to share your personal data, we will notify you in advance, unless this is legally prohibited.

You have the right to request access to, correction of, restriction of, and deletion of your data. You can send your request to [email protected]

Complaints procedure
We attach great importance to the quality of the courses and a positive learning experience. Should a complaint nevertheless arise, we ensure a clear handling process.

We recommend first discussing the complaint verbally with the teacher or coordinator involved. Often, a problem can be resolved quickly in a personal conversation.

*Complaint description:
1. A complaint is defined as an expression of a (very) negative assessment of an employee / trainer / legal person working within K'dans, studio 'in beweging', which is part of the provision of a training module.
State your name, contact details, date, a description of the problem, and any relevant documentation.
**Conditions:
2.1 Every student completes an evaluation form after the completion of a training course and also has the right to file a complaint after taking a training module at K'dans, studio 'in beweging'.
2.2 The complaint can be addressed to K'dans in writing or verbally.

2.3 Confirmation of receipt
You will receive a confirmation of receipt of your complaint within 5 working days. We will carefully investigate your complaint and aim to provide a response within 14 working days.
Investigation and Solution
Our complaints committee investigates the situation and proposes a solution. If necessary, we may request additional information or schedule a meeting.
Decision and Feedback
You will receive a clear and reasoned decision in writing. This contains the outcome of the investigation and the proposed solution.
Opportunity to Appeal
Are you not satisfied with the outcome? Then you can appeal via [the Sport Mediation Foundation].
We strive to take every complaint seriously and reach a satisfactory solution. Your feedback helps us improve the quality of our training.
K'dans will act in accordance with the ruling.
2.3 All complaints are treated confidentially.
2.4 The parties involved adhere to confidentiality regarding data and the sharing of information with third parties.
***K'dans reserves the right not to assume any obligation to process the complaint if:
3.1 the complaint is submitted anonymously.
3.2 the reason for the complaint occurred more than 3 months prior to the submission of the complaint.
3.3 the complaint is directed against the organization that uses the services of K'dans, studio'in beweging'. In this case, the complaint will be forwarded to the relevant organization within 5 days.
3.4 If K'dans, studio'in beweging does not process the complaint, the person who submitted the complaint will be informed as soon as possible and always within 10 days.
